LEADING Job Release Note 25.12

With version 25.12, LEADING Job continues to improve system stability with 28 enhancements and bug fixes.

In addition, several new features and optimizations have been introduced to further streamline daily workflows.

Highlights of this release include the new Dark Mode, improved usability enhancements (such as Enter key support and optimized focus handling), a clearer document overview, the introduction of intercompany billing between agencies, extended permissions for incoming invoices, as well as new capabilities in e-invoice export and reporting.

In the web application of Leading JOB each update only takes place after prior consultation with the customer. You can test the new features first in your test database.

 

 

 

General

1. Dark Mode 

 

Display preferences vary from person to person - which is why LEADING Job is now also available in dark mode.

To enable dark mode, click on the new sun icon in the top right-hand corner:

After clicking, the interface switches to a dark theme:

To switch back to light mode, click the icon again - it will now be displayed as a moon.

2. Using the Enter key in dialogs and filters

What’s new? In many areas, dialogue boxes and filters can now be confirmed directly by pressing the Enter key instead of clicking the button with the mouse.

In certain cases (e.g. column filters), the process involves two steps:

  1. Confirm selection of an entry with Enter
  2. Focus moves to “OK”
  3. Press Enter again to save

Why is this important? The process becomes significantly faster and more efficient, as fewer mouse clicks are required.

3. New indicator for attached documents

What’s new? The ‘Documents’ button now uses an indicator to show whether any documents are associated with a record.

Why is this important? You can see straight away whether any documents have been attached, without having to click the 'Documents' button.

4. New column display for attached documents

What’s new? Changes have been made to the content of the module columns displaying the number of attached documents, and a new column has been added for incoming invoices:

  • The general "# attached documents" column now only shows the number of active documents, i.e. only those that are not already in the bin.
  • In the Supplier Invoices module, the column “# attached documents” no longer includes scan documents, as these are stored separately in the header data of the invoice.
  • A new column “#attached scan documents” has been added (only in the Supplier Invoices module) to indicate whether scan documents are attached.

Why is this important? The updated display provides a clearer and more accurate overview of attached documents and distinguishes between different document types.

Jobs

5. New fields for the intercompany function

What's new? Thanks to new mapping fields in the job, invoices can now be exchanged via the intercompany feature even between agencies within the same database.

The basic requirement for this is that the intercompany function must be enabled in the system settings. If you are interested, please contact job.support@qualiant.at to have this function enabled in your test database if required

Workflow example:

1. Target agency defines the linked job:
To import outgoing invoices created in Agency A (in this example “Qualiant IT”) into Agency B (in this example “Qualiant”) as supplier invoices, the linked job of the source agency (Agency A) must first be entered in the new assignment fields in the “Intercompany” section within the target agency (Agency B) (see screenshot above).

2. Source agency creates the outgoing invoice:
Services from the job in the source agency (i.e. “Qualiant IT”) can now be invoiced as usual via an outgoing invoice.

3. Outgoing invoice is available for import in the target agency:
This outgoing invoice is now available within the database in the target agency (i.e. “Qualiant”) for import via the Supplier Invoices module:

4. Perform the import in the Supplier Invoices module:
Here, you can select the available invoices from the source agency and define the supplier invoice book as the target for the import.

5. Confirmation of imported invoices:
Afterwards, you will receive a confirmation message showing which outgoing invoice numbers from Agency A have been imported as supplier invoice numbers in Agency B.

The included services are now automatically assigned as external services to the corresponding job in the target agency (Agency B), based on the previously defined job assignment.

Why is this important? Internal service billing between agencies is automated and significantly simplified.

6. Consistent handling when adding services

What’s new? There are several ways to add services to a job: You can create new services, copy existing services, or add services from a job template.

The handling of copying services and adding services from a job template has now been aligned with the creation of new services:

  • Newly added services are automatically inserted at the end of the service list
  • The focus automatically jumps to the end of the list
  • The respective service is immediately displayed in the data window and can be edited right away

Why is this important? The handling is now consistent across all methods of adding services and enables faster further processing of newly created services.

Supplier Invoice

7. New privileges for overhead invoices

What’s new? Previously, users with existing privileges to edit supplier invoices were also able to edit invoices that do not contain any services (classic overhead invoices).

With the current version, this has been separated. Two new privileges have been introduced:

  • Supplier Invoice → 'Invoice - set to non-OV (standard) status'
  • Supplier Invoice → 'Invoice - set to OV status'

These privileges are automatically assigned with the update to all employees who already have privileges to edit supplier invoices.

With both privileges, users can still edit both classic overhead invoices and job-related supplier invoices.

  • The privilege “Invoice - set to non-OV (standard) status'” allows (depending on additional rights) the editing of supplier invoices with positioning
  • The privilege “Invoice - set to OV status” allows the editing of supplier invoices without positioning

This applies to the corresponding statuses in the system:

Why is this important?
The processing of supplier invoices can now be controlled more precisely, especially when distinguishing between job-related invoices and classic overhead invoices.

Export

8. Export of e-invoices

What’s new? With the current version, the export of e-invoices has been migrated to the web application, allowing all necessary steps to be carried out directly within LEADING Job.

The export can be accessed via the Import/Export function in the main menu:

Within the export dialog, you can define:

  • the invoice period
  • the customers for which the export should be performed

The system automatically displays how many e-invoices are currently available for export.

The export can either be tested in advance or executed directly using the “Start export” button.

Please note: The export directory must be defined in the system settings by your local administrator beforehand.

 9. PDF export with BMD interface

What’s new? When using the interface to the BMD accounting system, it is now possible to transfer PDF documents in addition to the accounting data during export.

Specifically, the following documents are included in the export to the accounting system:

  • Scans of supplier invoices
  • Original PDF files of outgoing invoices

Why is this important? All relevant documents are directly available in the accounting system. This eliminates additional manual steps, for example when reviewing invoices or during dunning processes.

Reports

10. New report “Job Statistics”

What’s new? A new report “Job Statistics” has been added to provide a simple statistical overview of the services contained in jobs.

It allows the evaluation of the number of services per service type within a selected job opening year.

Within the report parameters, you can define:

  • whether the report should be created for the active agency or for all agencies
  • the job opening year (mandatory)
  • optionally, a restriction to a specific creation period

The report then provides a statistical evaluation of the number of services in jobs, broken down by their respective service types, for all jobs within the selected period.

Why is this important?
You get a simple and structured overview of the distribution of services by service type and can analyze them in a targeted way.
